Cosmetic Manufacturing Lead Times
Vaulabs manufactures in Clearwater, Florida. A first production run takes 10 to 12 weeks from approved sample and deposit. A reorder takes 6 to 8 weeks. A first laboratory sample takes two to three weeks, and each revision one to two. Those are the numbers to put in a launch calendar.
Where the first ten to twelve weeks go
- Formulation. Development against your brief, then revisions until a sample is approved. This is where a launch date is usually won or lost, because revisions are a conversation, not a queue.
- Packaging compatibility. Components are tested with your actual formula, not with a similar one. A formula that is stable in a beaker can still deform, discolour or leach in the container you selected.
- Artwork and label review. Claims and ingredient disclosure are checked against label requirements before printing, not after.
- Raw materials and components. Ordering happens once the formula and the packaging are locked, and supplier lead times are outside our four walls.
- Production and release. Filling on our lines, then quality release with a certificate of analysis and full batch documentation.
Why a reorder is faster and nothing was cut
Founders sometimes read the gap between 10 to 12 weeks and 6 to 8 as evidence that the first timeline was padded. Nothing was cut. Development, compatibility testing and artwork review do not repeat on a reorder. What is left is buying the same materials again and finding a slot on the line.
What we have come to believe is that founders should budget for the second timeline on their very first launch, and then treat the extra weeks as what they are: the cost of the product existing at all.
What can actually be compressed
Some of it can move, and it is worth being specific about which parts. Benchmark matching, which starts at $1,500, shortens development because the target is a product that already exists rather than a description. Selecting stock components instead of custom tooling removes weeks of component lead time. Approving a sample quickly, and approving it once, removes more calendar than anything we can do on our side. Running stability in parallel with artwork, rather than in sequence, saves time where a product's risk profile allows it.
I want to be careful here, because there are two things that should not be compressed. Preservative efficacy and stability exist to tell you whether a product survives a year on a shelf and a consumer's bathroom. Skipping them does not make a launch faster, it moves the failure to a point where you have already paid for units.
Minimums and capacity
Minimum order is 5,000 units per SKU, 10,000 for OTC, and runs go from 5,000 to 50,000 units and above. Capacity is more than 400,000 units per month across four automated filling lines, with low speed, hot and cold fill available. Capacity matters for timelines in one specific way: a scheduled run does not sit behind someone else's for weeks.
Our facility
Our facility at 2021 Sunnydale Blvd, Clearwater, Florida is FDA-registered and NSF-certified under NSF/ANSI 455-2, certificate C0681369-HSCDS-5, valid through May 27, 2027. Cosmetic production runs in the same facility, under the same quality unit, with the same batch records and release documentation. Certification under NSF/ANSI 455-3, the cosmetic standard in the same series, is planned at our next audit. We are MoCRA compliant and manufacture in the United States.
